Course overview

Course overview:

Sales funnel — this is not just a trendy marketing term, but a harsh reality into which every single patient of your clinic falls. And then — they fall out of it. Silently. Without complaints. Without explanations.

If you are tired of watching patients cancel appointments hours before the visit, listening to endless "I'll think about it" and "thank you, goodbye" after the initial consultation, seeing people abandon treatment halfway through even though you know they really need it — then you are on the right track.

But there is an important nuance. Before implementing changes, sending administrators and doctors to expensive trainings, rearranging the payroll system or buying a new CRM — first measure the current catastrophic situation. Get "before" numbers so there is something to compare later. Without measurement you will never know whether your actions helped or only made things worse.

In the course we will analyze three critical stages of the funnel where a clinic loses up to 80% of patients:

— Contacting the clinic — the administrator's area of responsibility (how they greet, how they handle objections, how they book)
— Initial consultation — the doctor's area of responsibility (how they form the value of treatment, not just make a diagnosis)
— Follow-through to the end of the treatment plan — the curator's area of responsibility (how they retain, remind, motivate not to quit).

You will receive concrete metrics for measurement, audit checklists, and simple action scripts that can be implemented tomorrow. Without expensive consultants, without total micromanagement and without staff tears.

What you will learn

  • Measure and calculate conversion rates across clinic funnel stages to identify patient drop-off points.
  • Implement a standardized data collection checklist to consolidate metrics into a single report.
  • Audit staff roles and assign responsibility for inquiry recording, reporting, and metric maintenance.
  • Apply step-by-step managerial action plans to diagnose and fix common conversion scenarios in clinics.

Course lessons

Lesson 1. Funnel evolution: from the classic AIDA model to the patient's real journey

We will start from the fundamentals and analyze how the logic of attracting clients has changed over the past 120 years and why standard approaches do not work in medicine "head-on". You will see how the classic AIDA formula transforms into a multi-stage patient journey, and learn to clearly delineate zones of responsibility between advertising contractors and your in-house staff. This lesson will help you understand the clinic's basic mathematics, figure out conversion calculation principles, and see at which global funnel stages your team works effectively and where there are hidden drop-offs.

— 120 years of the sales funnel: a brief history of the origin and development of the fundamental marketing model
— Transformation of concepts: from the classic AIDA formula (Attention, Interest, Desire, Action) to the modern patient journey
— Medical specifics of the funnel: appointment booking, initial consultation, treatment plan, and final sanitation
— Boundary separation: zones of responsibility of the marketing department and the clinic's internal team
— 3 main funnel stages: what the marketer, the administrator, and the "doctor + coordinator" link are responsible for
— Conversion as the primary effectiveness marker: definition, calculation formulas, and practical application in management.

Lesson 2. Key clinic metrics: how to collect data and read reports without chaos

Lesson 2 description:

What can be managed can only be measured. The second lesson is entirely dedicated to digitization of clinic processes. We will analyze the main medical metrics: from the volume and quality of incoming calls to the percentage of refusals and individual doctor conversion. You will learn why analytics breaks down if administrators forget to record at least one inquiry, and will receive a ready checklist for collecting primary data. The main result of the lesson – you will understand how to combine all indicators into a single, easy-to-read reporting system and will fix zones of responsibility for data collection among staff.

— Metric №1: Number of incoming inquiries (leads)
— Metric №2: Lead quality and strict criteria for its assessment
— Accounting discipline: why laxity in registering inquiries destroys clinic analytics
— Metric №3: Conversion from inquiry to actual patient visit
— Metric №4: Percentage of refusals of treatment and reasons for their occurrence
— Metric №5: Key performance indicators (KPI) for doctor performance
— We consolidate data: how to combine disparate metrics into one convenient report and draw correct conclusions
— Practical tool: checklist “Collection of primary data”
— Managerial allocation: assigning responsible persons for entering metrics and regular reporting.

Lesson 3. Manager's workshop: 4 real scenarios and an action plan to increase conversions

Lesson 3 description:

This lesson is a purely managerial simulator. Instead of boring theory we will analyze 4 classic and most painful situations that a clinic director or chief physician encounters daily. What to do if one administrator schedules patients twice as efficiently as another? How to react if treatment coordinators show different no-show/refusal rates, or why does call quality drop despite a stable advertising budget? We will examine each case in detail and form a step-by-step roadmap for you: how to identify hidden causes of funnel failures and which targeted solutions the manager should implement to quickly increase revenue.

— Step-by-step action plan for the manager to systematically increase clinic conversion
— Situation 1. Two call center operators or administrators have radically different conversion-to-visit metrics. We search for the cause and solution
— Situation 2. Two treatment coordinators have different refusal rates with the same patient flow. Analysis of internal triggers
— Situation 3. Marketing brings the same number of leads for two months in a row, but the percentage of quality inquiries has sharply dropped. Action algorithm
— Situation 4. Two doctors of the same specialty differ greatly in the average number of closed cases (completed plans) per patient. Audit plan
— Ready-made algorithm and roadmap for the manager to operationally solve problems at each stage.
